Additional stand personnel access passes must be booked & paid by below deadline.
Your package includes some personnel – see above section.
You may purchase up to 2 additional stand personnel to work your booth. Please note that these pass holders will have access to the EXPO area only and will not be permitted to attend conference sessions.
The cost per additional pass is €350 per person and covers all food and beverage breaks for the duration, as well as access to the EXPO Party on Tuesday evening.

Passport Around the EXPO
The ‘Passport Around the EXPO’ is an interactive delegate challenge where delegates must visit partner stands to have their ‘passport’ card stamped. This actively encourages attendees to visit your booth.
Your Participation: This is free and optional. No prize required as it is provided by EuroSTAR.

How it Works
- Exhibitors must opt in by Friday 1st May 2026 to be included in the printed card.
- Delegates will receive a ‘passport’ in their conference bag displaying each opted-in exhibitor logo.
- EuroSTAR will provide the passport cards, stamps and prizes so exhibitors can focus on making new connections.
- The challenge will run from 10:00 Tuesday 16th June through to 11:15 on Thursday 18th June.
- Prize Draw on Thursday 18th June at 13:15
Advantages for Exhibitors
- Increased delegate footfall to your stand.
- Visibility and exposure as your logo will feature on the ‘passport’ given to every delegate.

EXPO Prize-Giving
Thursday 18th June – 13:15
There will be scheduled EXPO prize-giving in the EXPO Hall with official photos. This is also advertised to delegates with images of the prizes.
Exhibitors announce the winners of their own on-stand competitions at the EXPO prize-giving.
Your Participation: This is optional. You must provide a prize (see suggestions below).

How it Works
- Each Exhibitor provides 1 prize
- You run a competition at your booth.
- You define the competition requirements based on your preferences for your booth interaction.
- This could be as simple as your team scanning their badge or the delegate takes part in a game/challenge at your booth.
- Please pre-select 3 names in advance of the prize-giving and a member of your team will call out the first name (winner must be present so sometimes you may need to call more than 1 name).
- There will be an official photo taken of each winner along with the relevant EXPO partner (delegate permission required).
Advantages for Exhibitors
- Increased delegate footfall to your stand.
- Increased opportunity to connect with delegates as they enter the competition.
- Bonus promotion of exhibitors participating in the prize-giving.
- Present your competition prize in front of a large number of delegates.

Stand personnel are issued with an EXPO badge and do not have access to sessions.

General Information
Lead Scanning at EuroSTAR
At EuroSTAR, lead scanning is available through our conference app, Whova.
Here’s how it works:
Download the Whova App
Each stand personnel will download the free Whova app onto their own device (phone) from the Apple App Store or Google Play Store.
Scan Badges
Using your device’s camera, you can scan a delegate’s badge with their permission to capture their contact details.
Information Collected
The scan captures the delegate’s first name, surname, email, company, and job title.
• Country is not collected, but it will be displayed on the delegate’s physical badge
Manage and Qualify Leads
• There’s a notes section to record follow-up actions or conversation details.
• You can mark leads as warm, cold, or other categories to prioritise your follow-up.
Accessing Your Leads
• Each stand personnel can download an Excel file of the leads they have personally scanned.
• The main contact will have access to a master Excel file containing all leads scanned by your team.

All EXPO spaces at EuroSTAR are floor-space only.

You may design and build on your floor-space in any way you choose, however we recommend opting for a shell scheme package.
For self build, please note:
- Stand outlines will be clearly marked by EuroSTAR. Please re-confirm your location with EuroSTAR EXPO staff before beginning to build.
- EXPO access is from Monday 15th June at 13:00 and all build must be completed by 18:00 on Tuesday evening.
- The EuroSTAR exhibition partner NOVA Spektrum can offer you standard or custom designed booth options, with furniture, electrical connection, signage and all typical exhibition needs.
- NOVA Spektrum will email you directly with a link to their webshop. Please communicate directly with NOVA Spektrum.
Important: Your contract for EXPO services and all billing is directly with NOVA Spektrum.

Logistics & Shipping
Logistics & Shipping – Goods Handling at Venue
Nova Spektrum Logistics – the official goods handling partner at the venue – provides full support to ensure your shipments arrive safely and are delivered directly to your stand. Their experienced team handles receiving, registering, and coordinating deliveries so your equipment and materials are in place when you need them.
Key points to plan your deliveries:
Addressing shipments: All goods must be clearly labelled with your company name, event name, and stand number, and addressed c/o NOVA Spektrum Logistics at Messeveien 14, N-2004 Lillestrøm, Norway.
Shipping documents: Every shipment – including courier parcels – must include complete shipping paperwork. Exhibitors are responsible for correct documentation; missing or incorrect information may result in additional charges.
Delivery timing:
– Goods arriving before the official build-up period are stored and then placed at your stand on day one of build-up.
– Goods arriving during build-up will be delivered directly to your stand.
Customs & import: Nova Spektrum Logistics can assist with customs clearance for both temporary and permanent imports.
Empty packaging & returns: Storage for empty packaging and arrangements to return goods after the event can be organised through the logistics team. Unmarked packaging left on stands may be discarded.
Parcels and small deliveries: Parcels should also be labelled with a contact phone number and will be delivered unless otherwise agreed. Letters under 2 kg have special address instructions.
