Additional stand personnel access passes must be booked & paid by below deadline.
Your package includes some personnel – see above section.
You may purchase up to 2 additional stand personnel to work your booth. Please note that these pass holders will have access to the EXPO area only and will not be permitted to attend conference sessions.
The cost per additional pass is €295 + VAT per person and covers all food and beverage breaks for the duration, as well as access to the EXPO Party on Wednesday evening.

Purchase Gala Dinner Tickets (Thursday 5th June)
Join us for this year’s gala dinner in the breathtaking National Museum of Scotland on Thursday, June 7th, at 19:30hrs. just a short 20-minute walk from the EICC.
Step into the stunning Victorian-era architecture for a spectacular drinks reception beneath the museum’s vaulted ceilings. Afterward, guests will make their way to the Grand Gallery, a magnificent space showcasing intriguing artefacts and intricate balconies, providing a truly prestigious setting.
Sponsor and Exhibitors may book tickets to attend, the cost per ticket is €150 per person + VAT.
Apply for Onsite Lead / Badge Scanning Access
Lead scanning is available at EuroSTAR using the conference app Whova. The cost is €195 per exhibitor + VAT for unlimited licences to use the scanning functionality in Whova. Once signed up you will use your own device (phone) to download an app and use your camera to scan a delegate’s badge (with their permission). Please note, only partners that purchase lead scanning will have access to the conference app. All others will be listed as per your package.

Passport Around the EXPO
The ‘Passport Around the EXPO’ is an interactive delegate challenge where delegates must visit partner stands to have their ‘passport’ card stamped. This actively encourages attendees to visit your booth.
Your Participation: This is free and optional. No prize required as it is provided by EuroSTAR.

How it Works
- Exhibitors must opt in by Tuesday 22nd April to be included in the printed card.
- Delegates will receive a ‘passport’ in their conference bag displaying each opted-in exhibitor logo.
- EuroSTAR will provide the passport cards, stamps and prizes so exhibitors can focus on making new connections.
- The challenge will run from Wednesday 10:00 through to 11:15 on Friday 6th June.
- Prize Draw on Friday 6th June at 13:00
Advantages for Exhibitors
- Increased delegate footfall to your stand.
- Visibility and exposure as your logo will feature on the ‘passport’ given to every delegate.

EXPO Prize-Giving
Friday 6th June – 13:00
There will be scheduled EXPO prize-giving in the EXPO Hall with official photos. This is also advertised to delegates with images of the prizes.
Exhibitors announce the winners of their own on-stand competitions at the EXPO prize-giving.
Your Participation: This is optional. You must provide a prize (see suggestions below).

How it Works
- Each Exhibitor provides 1 prize
- You run a competition at your booth.
- You define the competition requirements based on your preferences for your booth interaction.
- This could be as simple as your team scanning their badge or the delegate takes part in a game/challenge at your booth.
- Please pre-select 3 names in advance of the prize-giving and a member of your team will call out the first name (winner must be present so sometimes you may need to call more than 1 name).
- There will be an official photo taken of each winner along with the relevant EXPO partner (delegate permission required).
Advantages for Exhibitors
- Increased delegate footfall to your stand.
- Increased opportunity to connect with delegates as they enter the competition.
- Bonus pre-conference promotion of exhibitors participating in the prize-giving.
- Present your competition prize in front of a large number of delegates.
Prize Suggestions
Previous popular competitions have included the following: Gaming Keyboard, iPad, Airpods, Lego Set, Drone, Portable Laptop Monitor, VR Headset, Nintendo Switch.

General Information
Your EXPO Space
All EXPO spaces at EuroSTAR are floor-space only.
EXPO packages Include:
- Exhibitors – 3mx2m
- Gold Sponsors – 4mx4m OR 6mx2m
- Platinum Partners – 4mx4m
You may design and build on your floor-space in any way you choose, however we recommend opting for a shell scheme package.
For self build, please note:
- Stand outlines will be clearly marked by EuroSTAR. Please re-confirm your location with EuroSTAR EXPO staff before beginning to build.
- EXPO access is from Tuesday 3rd June at 13:00 and all build must be completed by 18:00 on Tuesday evening.
- The EuroSTAR exhibition partner Warwick Event Services can offer you standard or custom designed booth options, with furniture, electrical connection, signage and all typical exhibition needs.
- Warwick Event Services will email you directly with a link to their webshop. Please communicate directly with Warwick Event Services.
Important: Your contract for EXPO services and all billing is directly with Warwick Event Services.

Logistics & Shipping
Shipping Order Deadline – 10th May 2025
Cameron Logistics is the preferred shipping and logistics handler for EuroSTAR 2025. You can arrange to ship your stand goods to Cameron Logistics, and they will ensure everything is delivered to the Edinburgh International Conference Centre (EICC) by 3rd June.
Cameron Logistics will charge all services directly to the Exhibitor.
Sponsors and exhibitors may also select an alternative shipping company of their choice.
