Code of Conduct

Our community upholds a high standard

Where it applies (scope) 

This Code applies at all EuroSTAR conference spaces and activities, including session rooms, EXPO, queues, hallways, networking/social events, and any conference‑related communications (e.g., event app, official channels, and CoC reporting). It also applies to virtual/online editions of the event.  

Expected behaviour (the ‘do’ list): 

  • Be kind, respectful, and considerate. Assume good intent; give feedback constructively. 
  • Respect boundaries and consent (space, contact, conversation topics). 
  • Use welcoming, inclusive language; listen to different viewpoints and experiences. 
  • Follow staff/venue instructions in the interest of safety and smooth running. 
  • Where alcohol is served at receptions, remain responsible and professional at all times

Unacceptable behaviour (the ‘don’t’ list):  

Harassment or discrimination in any form is not tolerated, including:

  • Demeaning/verbal comments reinforcing social domination related to gender, gender identity/expression, sexual orientation, disability, appearance, body size, race, age, religion, etc. 
  • Deliberate intimidation, stalking/following, sustained disruption of talks or events.  
  • Unwelcome sexual attention, inappropriate physical contact, sexual images in public spaces. 
  • Photography/recording of an individual without consent; invasion of privacy.  
  • Online harassment (e.g., cyberbullying, unwarranted screen-captures/recordings, threatening behaviour) in any event-related digital space. 

EXPO, sponsors & sales conduct (in-person)

  • Sponsors/exhibitors are fully bound by this Code. 
  • No sexualised imagery/activities; no sexualised uniforms/costumes. 
  • No inappropriate or repetitive product/service solicitation outside EXPO booth areas. Respect “no thanks” immediately. 
  • All EU GDPR data collection laws and guidelines must be complied with 

Reporting concerns (get help)

  • Tell any EuroSTAR team member or go to the Conference Information Desk/Event Office (staff are available throughout the event).  
  • Or use the incident reporting form on the bottom of this page. 
    Share as much detail as you can (what/when/where/who; any witnesses). 

Should you prefer not to approach a staff member directly, please email conduct@eurostarconferences.com or you may also use the form below to alert our senior management to an incident.

Our response & enforcement 

  • We will handle reports with discretion and confidentiality as far as possible and prioritize immediate safety.  
  • Actions may include: a private conversation, warning, removal from an activity/space, badge removal/expulsion (no refund), and/or contacting venue security or local law enforcement; escorts can be arranged if requested. 
  • No retaliation: Retaliation against anyone reporting or assisting with a report is itself a Code breach. (Recommended best practice used widely in major events.)  

Access to events

EuroSTAR may refuse participation or remove access if someone disrupts the event, creates a nuisance, poses a health/safety risk, or is likely to breach this Code. Participants must comply with applicable laws.
